1.7.1 Records from Client and Outside Sources

  1. Store on local drive; OCR and DCN the document
  2. Upload document into ‘Records Library’ and delete from local drive
  3. LSS Initial Metadata
    • LSS adds metadata
    • Notify PRA of new records (Daylite task to lawyer)
  4. Attorney review
    • PRA adds metadata
    • Redact as necessary Process for Redaction:
      • Copy link to document to scratch pad
      • Copied for redaction = Yes
      • Download and redact using Acrobat
      • Update redacted copy back to Records (do not replace or overwrite original version)
      • Paste link to original from scratch pad
      • Add all remaining metadata to redacted version
    • Notify LSS when done (Daylite task)
  5. Filter and Copy
    • Disclose=Yes
    • Set date range to after most recent Disclosure
  6. Pre-Prod Rec. Lib—LSS adds PPR Metadatea
    • Date Produced
    • Produced? (‘Y/N’)
    • DCN Range
    • Disclosure No.
    • Create Log? (‘Y/N’)
      • This triggers workflow which moves records and updates Logs List
      • Document goes into either ‘Served Library’ or ‘Privilege Library’ depending on state of metadata
      • All goes into ‘Logs List
      • O/C can only see the ‘Privilege Logs’ and ‘Production Logs’ views
  7. Served Library
    • LSS completes ‘Served Library’ metadata
    • Records served by other parties
  8. LSS serves ‘Updated Disclosure’ with email link to updated log list
    • Privilege Library
    • Logs List
  9. Filed Library
    • Documents that have been filed and served
